Privacy policy
Effective October 4, 2026
This policy describes how Salt Services ("we," "us") collects and uses information through the client portal at my.saltservicesusa.com. It covers the portal, and the QuickBooks Online connection in this portal and in the client portals Salt Services builds and operates for its clients (described below). Our main site's privacy policy at saltservicesusa.com/privacy-policy/ covers saltservicesusa.com itself. Short version: this account holds your own website's data so we can show it back to you, we don't sell it, and we don't share your mobile number with anyone for their marketing.
Information you give us
When your account is created — by us, after you sign up for hosting — we store your name, email address, phone number, and business name. If you use the "Request a change" form, we store the message you send us.
Information about your website
Your portal account shows data about your own website: visitor and pageview counts from Vercel Web Analytics, and search performance (clicks, impressions, top queries) from Google Search Console, using a service account you've granted access to. This is aggregate, anonymized traffic data about your site, not personal information about the people who visit it, and it's shown only to you and to Salt Services staff who support your account.
Text messaging (SMS) and email terms
We send you a one-time code by text and email each time you log in, and send account notices (billing, payment reminders, service updates) the same way through Coraline, our CRM and communications platform. Message frequency varies; message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Opt-in data and consent are not shared with any third party.
Billing information
Hosting subscriptions are billed through Stripe. We store your Stripe customer and subscription identifiers so we can show your billing status and invoice history, but we never see, handle, or store your card number ourselves — updating your payment method happens on a page Stripe hosts directly.
QuickBooks Online connection
Some portals we operate can connect to your business's QuickBooks Online company, so receipts and costs can reach your books without retyping them. Nothing connects unless someone authorized for your business chooses Connect QuickBooks, signs in to Intuit, and picks the company. The connection asks Intuit only for accounting access — never payments or payroll.
What we read: your chart of accounts, vendors and customers, expense and bill transactions, attachments we added, and profit and loss reports — only what's needed to file costs to the right accounts, avoid entering a cost twice, and show your income and expenses back to you in the portal.
What we write: expenses, the receipt image or file attached to them, and, where your portal tracks jobs, the vendor or job a cost belongs to. We only write entries for receipts or costs that a person on your account has entered or confirmed. Apart from attaching a receipt to a matching transaction you pick, we don't change or delete transactions we didn't create.
How it's protected: the access tokens Intuit issues are encrypted (AES-256) with a key kept separately from the data, and each portal is locked to the single QuickBooks company it was first connected to. We keep a cached copy of your latest report figures so pages load quickly. It's replaced with fresh figures from QuickBooks at least every 15 minutes while you're using the portal, and deleted when you disconnect. Your QuickBooks data is shown only to your own portal users and to Salt Services staff who support your account. We don't sell it, use it for marketing, or use it to train AI models.
Disconnecting: Disconnect in the portal revokes our access and deletes the stored tokens. Disconnecting the app from inside QuickBooks cancels our access at Intuit immediately, and the tokens we hold stop working. Entries already posted stay in your QuickBooks, because they're your records. Receipts you uploaded stay in your portal until you ask us to delete them. QuickBooks itself is governed by Intuit's own terms and privacy statement. QuickBooks is a trademark of Intuit Inc., and Salt Services is not affiliated with Intuit.
Receipts
When you upload or photograph a receipt, the file is stored privately with your account. It's read automatically by Anthropic's Claude AI, acting as our service provider, so the vendor, date and amount can be filled in for you to check. Anthropic processes it to return that reading and does not use it to train its models. If your portal lets an assistant search your email for receipts, it has read-only access to the one mailbox you approve, and it only files messages into your receipt inbox for you to review.
How we share information
We share information only with service providers who help us operate the portal — Stripe (billing), Coraline/LeadConnector (notifications), Vercel (hosting, analytics, and domain registration), Google (Search Console access, via a service account), Intuit (QuickBooks Online, only if you connect it), and Anthropic (reading receipts you upload) — or when the law requires it. We do not sell personal information, and we do not share it with anyone for their own marketing.
If you register or transfer a domain through us, ICANN — the body that oversees domain names — requires your name, business name, postal address, phone number, and an email address to be filed with the registrar as the domain's owner. We submit those details to Vercel, which registers the domain, and they are held in the domain's registration record. For most domain extensions that record is not published publicly, but it is retained by the registrar and the registry and may be disclosed where ICANN rules or the law require it. The contact email we file is ours rather than yours, so that registrar and ICANN correspondence comes to us; the rest of the details are your own.
Who can see your account
Salt Services staff with an admin or team-level account can view your account status, billing state, and website data to support you — never your card details, which live with Stripe. Team-level accounts specifically cannot see billing details or take billing actions.
Cookies and security
The portal sets a single functional cookie to keep you signed in; it's not used for tracking or advertising. Your password is stored using industry-standard one-way hashing (scrypt) — we can't see it either. No method of storage or transmission is completely secure, and we can't guarantee absolute security.
Retention
We keep your account and its data for as long as you're a hosting client, and for a reasonable period after in case you return, unless you ask us to delete it sooner.
Children
This portal is for business account holders and is not directed to children under 13.
Your rights
You may request a copy of the information we hold about you, ask us to correct it, or ask us to delete your account, by emailing fdarnell@saltservicesusa.com or calling (866) 721-7258.
Changes and contact
If we change this policy, we'll update it here with a new effective date. Questions: fdarnell@saltservicesusa.com, (866) 721-7258, Salt Services, Kodak, TN.
